Privacy policy

This policy explains what Kecomsoft does with the personal information you give us through this website. It is written to describe what actually happens, not to cover every eventuality: if something here does not match what you experience, tell us and we will fix the policy or the website.

Who we are

Kecomsoft is a dedicated customer operations and staffing company. Our teams operate in United States business hours (Monday through Friday, CST) for clients based in the United States. Kecomsoft is the service brand of a parent group, and it is that group that operates our mailboxes and answers correspondence — which is why the addresses below are on a different domain from this website. Write to sales@gr340.com about anything in this policy or to exercise any of the rights below, and to hr@gr340.com for anything related to a job application.

What we collect, and only when you send it

We do not collect anything just because you visit. There is no analytics, no advertising pixel and nothing that follows you from page to page or from one visit to the next. One request does leave your browser when you open the front door — it asks an outside service which country your IP address is in, so the page can open in your language — and it is explained in full in our cookie policy; it does not pass through our servers and nothing about it is stored. The only personal information we hold is what you type into one of our two forms and send:

  • Contact form: your name and surname, your company, your email address, your phone number, which service you are asking about, roughly how many people you need, and the message you write. The phone number is required — the system that receives the enquiry will not accept it without one.
  • Job application form: your name, email address, phone or WhatsApp number, your country/city of residence, your level of English, your years of experience, a link to your CV, and anything you write in the open field.
  • We do not accept CV file uploads on purpose. You give us a link you control, and you can take it down whenever you want.

What we use it for

For the reason you sent it, and nothing else:

  • To reply to your enquiry, prepare a quote and, if you become a client, run the service you hire.
  • To assess your application, arrange interviews and get back to you about the outcome.
  • To keep a record of the consent you gave when you sent the form, which is the reason we are allowed to hold the rest.

Why we are allowed to hold it

Everything above has a reason we are permitted to keep it, and it is one of these four:

  • Your consent, given by ticking the box before you send a form. You can take it back whenever you want — see what you can ask us to do, below.
  • Steps taken at your request before there is a contract: preparing a quote, agreeing scope, arranging a call.
  • Performing a contract, once you are a client and we are running the service you hired.
  • A legal obligation, for the records that tax and employment law require us to keep for a set number of years.

What we never do with it

  • We do not sell it, rent it or trade it. Not to anyone, not ever.
  • We do not sell or hand your details to advertisers, and nothing you write in a form is used to build an advertising profile of you. We do not measure your visit either: there is no advertising measurement on this site.
  • We do not reuse a candidate’s details for a different client, and we do not build a private candidate database out of the people who apply to us.
  • We do not send you marketing you did not ask for.

Where it goes, and who can see it

When you send the contact form, your message goes into a customer management system that our parent group already runs for its other websites. It is the group’s own system, not a public database, and each message is tagged with the brand and country it came from so it reaches the right team. The people who read it are those at Kecomsoft and at the group who need it for the reason you wrote in: the sales team for enquiries, the recruitment team for applications. If you write to us from the United States or anywhere else, your information is securely processed by our international operations team. We do not pass what you send us to anyone outside the group. One thing does reach a company outside it, and it has nothing to do with what you write: when you open the front door of the site, your browser asks geojs.io which country your IP address is in, so the page can open in the right language. That request goes from your browser straight to them, never through our systems, and we neither see nor store your IP address. Our cookie policy explains it in detail. When we work inside a client’s own systems, the client’s data stays in the client’s systems and their policy governs it, not this one.

How we protect it

Plainly, and without claiming more than we have:

  • The site is served over an encrypted connection, and so is the form when you send it.
  • Access is on a need-to-know basis. The people who read your message are the ones who need it to answer you, and nobody else.
  • Confidentiality is signed at company level and at agent level.
  • The site accepts no file uploads on purpose, so there is nothing of yours sitting on a server beyond what you typed into a form.
  • We do not hold a security certification today — no ISO 27001, no SOC 2 report. We would rather say that here than let you assume otherwise. If your procurement team needs one, raise it on the first call.

How long we keep it

  • Enquiries that do not turn into a conversation: up to twelve months, then deleted.
  • Applications that do not lead to a hire: up to twelve months, in case a suitable opening comes up. Ask us and we delete them sooner.
  • Client and employee records: for as long as the relationship lasts, and afterwards only for as long as the law requires us to keep them.

What you can ask us to do

Write to the address in section one and tell us what you want. We will answer within thirty days, and we will not ask you to justify yourself:

  • A copy of what we hold about you.
  • A correction, if something is wrong.
  • Deletion. If you are not a client and we have no legal obligation to keep it, we delete it.
  • Withdrawal of the consent you gave. It does not undo what we did before you withdrew it, but it stops everything after.
  • A copy in a portable format, if you would rather take it somewhere else.
  • An objection to one particular use of it. Tell us which one and we stop that use, unless a law requires us to continue.

If you live in the United States

Several states — California, Virginia, Colorado, Connecticut and others — give residents rights over their personal information, including the right to know what is held, to have it deleted, and to opt out of it being sold or shared. Those rights are already how we operate for everyone, whatever state you are in: we do not sell or share personal information, so there is nothing to opt out of. Exercising any of them takes the same email as section seven, and we will not treat you differently for asking.

Children

This site is meant for businesses and for adults looking for work. We do not knowingly collect information from anyone under sixteen. If you believe a minor has sent us something, write to us and we will delete it.

Automated tools

No decision that affects you is taken automatically. A person reads every enquiry and every application, and a person decides. The only thing this site decides on its own is which of the two languages to open in, and the language switch overrides it whenever you want. If we ever change that, this page changes first.

When this policy changes

The date at the top is the one that counts. If we change something that affects what we do with information we already hold, we will tell the people affected by email rather than quietly editing the page.
